The entity responsible for processing your personal data is:

Acelestre, S.L.U.

2. Who this Privacy Policy applies to

This Privacy Policy applies to:

  • candidates who create an account, profile or apply for jobs through PyHires;
  • company users who create or manage a company account, publish jobs or review applications;
  • visitors to the PyHires website; and
  • people who contact or otherwise interact with PyHires.

3. Personal data we process

We only collect and process personal data that is relevant to operating PyHires and providing its services.

3.1 Candidate information

PyHires does not accept CV or resume files. Candidates build their professional profile by completing forms within the platform. When you create a candidate account or profile, we may process the professional information you provide, such as:

  • name and email address;
  • country and, where provided, city of residence;
  • professional headline and a short professional summary;
  • work experience, years of experience and seniority level;
  • Python and other technical skills;
  • education and training, where provided;
  • languages you can work in;
  • links to professional profiles, repositories or a personal website, where provided;
  • job preferences, such as preferred roles, types of engagement, salary expectations and availability date;
  • your applications and other interactions with the platform; and
  • information generated by our matching and ranking features, such as match scores.

PyHires does not ask candidates for their age, gender, nationality or a photograph, or for other personal data that is not needed for the professional purpose of the platform.

3.2 Company information

When a company creates an account or uses PyHires, we may process information such as:

  • name and email address of the account user;
  • company name and website;
  • company description and relevant business information;
  • company location;
  • job vacancy information, including role requirements, skills, experience and working arrangements;
  • account and subscription information;
  • billing and transaction information; and
  • interactions with candidates, applications and other platform activity.

3.3 Technical and usage information

When you use PyHires, we may also process technical and security-related information such as:

  • IP address;
  • browser and device information;
  • dates and times of access;
  • authentication and security logs;
  • information relating to account activity; and
  • information used to detect fraud, abuse, automated attacks or other misuse of the platform; and
  • only if you accept it in the cookie banner, how you arrived on PyHires: the campaign tags of your first page, the website that linked to it (without any query string) and the path of that first page. See Section 14.

Cookies and similar technologies are described in our Cookie Policy.

3.4 Contact form messages

When you write to us through the contact form, we process your name, email address, the subject and message you send, and the IP address and browser information of the submission. We use them only to read and answer your message and to block abusive or automated submissions. The legal basis is our legitimate interest in answering the enquiries we receive. Before sending, you confirm that you have read this Privacy Policy; that confirmation is not a consent and is not used for anything else.

3.5 Email lists

Besides the emails that are part of the service, we send three kinds of email that you can stop receiving without affecting your account:

  • Newsletter: anyone can subscribe with an email address. The subscription only starts once you confirm it from the email we send you (double opt-in). We keep your email address, the language and the page where you subscribed, and the dates on which you subscribed, confirmed and, where applicable, unsubscribed. The legal basis is your consent.
  • Product updates and offers: company users who turn them on in Settings, Notifications. We record that choice with your account. The legal basis is your consent.
  • Job match digest: candidates receive an email with new jobs that match their profile. It can be switched off in Settings or from the email itself. The legal basis is the performance of the service you signed up for.

Each of these emails includes a link to stop receiving it.

4. How we use personal data

We use personal data for purposes including:

  • creating and managing user accounts;
  • providing the PyHires platform and its features;
  • allowing candidates to search for and apply to jobs;
  • allowing companies to publish and manage job vacancies;
  • processing and managing applications;
  • matching candidates with relevant job opportunities;
  • generating match scores and rankings;
  • communicating with users about their accounts, applications and the platform;
  • sending the newsletter, product updates and offers, and the job match digest (Section 3.5);
  • processing subscriptions and payments;
  • maintaining the security and integrity of the platform;
  • preventing fraud, abuse, spam and other misuse;
  • if you have accepted it, understanding which channels bring people to PyHires;
  • maintaining and improving PyHires;
  • complying with legal obligations; and
  • exercising or defending legal rights where necessary.

We do not use personal data for purposes that are incompatible with the purposes described above without providing the information required by applicable law.

5. Legal bases for processing

Depending on the specific processing activity, we may rely on one or more of the following legal bases under the GDPR:

Contract

We may process personal data where this is necessary to provide the services or functionality requested by you, such as creating an account, managing a profile, applying for jobs or using company features.

Legitimate interests

We may process personal data where necessary for our legitimate interests, provided that those interests are not overridden by your rights and freedoms.

This may include operating, securing and improving the platform, preventing fraud and abuse, protecting our services and users, and managing our business relationships.

Legal obligations

We may process personal data where necessary to comply with applicable legal, accounting, tax or regulatory obligations.

Consent

Where consent is required by applicable law, we will request it before carrying out the relevant processing. You may withdraw consent at any time where the processing is based on consent.

For example, we ask for your consent before recording how you arrived on PyHires (Section 14). If you do not give it, nothing is recorded.

The newsletter and the product updates and offers are also based on your consent (Section 3.5).

The applicable legal basis depends on the specific processing activity.

6. Candidate profiles and applications

Candidate profiles on PyHires are private by default.

Creating an account or a profile does not make it public, and companies cannot search for or browse candidate profiles simply because a candidate has registered.

When a candidate applies for a job, the company that published that job can access the profile information needed to manage that application, together with the related match score. Companies only have access to the profiles of candidates who have applied to their own job vacancies.

Companies receiving candidate information through an application are generally independent data controllers for their own subsequent processing of that information, including their recruitment and hiring activities. Candidates should review the relevant company's privacy information where appropriate.

PyHires remains responsible for its own processing of candidate information within the platform.

7. Matching, ranking and recommendations

PyHires compares the professional information in a candidate's profile with the requirements of each job vacancy, such as skills, experience, location, languages, preferences and salary, and generates a compatibility percentage or match score.

These scores are used to:

  • help candidates identify relevant job opportunities;
  • order and recommend jobs according to their relevance;
  • help companies review the candidates who have applied to their vacancies; and
  • improve the relevance of searches and recommendations.

This evaluation of professional information may constitute profiling within the meaning of the GDPR. It is carried out to provide the matching features of the platform and is limited to information relevant to that purpose.

The match score is calculated with fixed rules set by PyHires (for example, how many of the skills a vacancy asks for appear in the profile). PyHires does not use artificial intelligence to calculate it. When the score is low, the candidate is warned before applying, but can still apply.

Language and region requirements set by companies

When a company publishes a vacancy it can state the languages the role requires and the countries or regions it hires from: anywhere in the world, the European Union only (its 27 member states), Europe as a whole, or a list of countries. PyHires compares these requirements with the languages and the country of residence stated in the candidate's own profile. It does not use nationality.

  • if the candidate does not meet them, PyHires shows a notice on the vacancy and before the application is sent, but the candidate can still apply: these requirements do not block anyone;
  • the company sees every candidate who applied, together with whether each one meets its language and region requirements, and can filter its applicants by them; and
  • so that we do not recommend roles whose requirements the candidate does not meet, those vacancies may be left out of the candidate's recommendations and match emails.

PyHires does not take any automated decision that excludes a candidate from a vacancy. Whether to contact, interview or hire a candidate who does not meet a requirement is decided by the company, which is responsible for the requirements it sets and for how it uses this information.

If you think the information shown about you is wrong (for example, because your profile was out of date), you can update your profile, or write to us at the address in Section 1 to ask for a person to review it, to express your point of view or to contest it.

Hiring decisions

A match score or ranking does not by itself determine whether a candidate is hired, rejected, interviewed or selected. Those decisions are made by the relevant company and the people responsible for its selection process.

You may object to this processing or request further information about it as described in Section 11.

8. Who we share personal data with

We do not sell personal data.

Personal data may be shared in the following circumstances:

Companies

Candidate information may be shared with a company when a candidate applies for one of its job vacancies, as described in Section 6.

Service providers

We use service providers that support the operation of PyHires. By category, they are:

  • hosting and content delivery;
  • payment processing;
  • email delivery;
  • error monitoring; and
  • sign-in with an external account, only if you choose to use one. In that case the provider you choose acts as an independent controller of the data it holds about you, under its own privacy policy.

Where these providers process personal data on our behalf, they act as data processors under data processing agreements, follow our instructions and may only use the data to provide their services to us. Card details are entered on the payment provider's pages and do not pass through PyHires.

We can give you the current list of providers, with their location and the safeguards that apply, if you ask for it at [email protected].

Legal and professional purposes

We may disclose personal data where required by law, to competent authorities, or to professional advisers where reasonably necessary to comply with legal obligations or establish, exercise or defend legal claims.

9. International data transfers

Some service providers used by PyHires may process personal data outside the European Economic Area.

Where personal data is transferred outside the EEA, the transfer relies on the safeguards of the GDPR: an adequacy decision of the European Commission, Standard Contractual Clauses or another legally recognised safeguard where applicable.

When you apply to a job, your profile and your application are sent to the company that published it, which may be established outside the EEA. That transfer is necessary for the application you choose to make.

You can request the list of providers and more information about these transfers and the safeguards applied by contacting us at [email protected].

The specific providers and transfer mechanisms may change as the platform develops.

10. How long we keep personal data

We keep personal data only for as long as necessary for the purposes for which it was collected, unless a longer period is required or permitted by law. In particular:

  • Inactive accounts: an account that remains inactive for 24 months may be deleted or anonymised.
  • Deleted accounts: when you delete your account, the related personal data is generally deleted or anonymised within 30 days, unless there is a legal obligation or legal basis to keep it for longer.
  • Email logs: certain logs relating to the emails we send are kept for a maximum of 40 days for operational, security and troubleshooting purposes.
  • Contact form messages: deleted 30 days after they are received, or after 7 days if they are identified as spam or automated submissions.
  • Billing and accounting information: kept for the periods required by applicable law.
  • Newsletter: kept while you are subscribed. A subscription that is never confirmed is deleted 30 days after the last confirmation email. When you unsubscribe, we keep your email address and the date you unsubscribed so that we do not write to you again; you can ask us to delete them at [email protected]. Deleting your PyHires account also deletes your newsletter subscription.
  • Product updates and offers and the job match digest: the choice is kept with your account and deleted with it.
  • How you arrived on PyHires, if you accepted it: kept in your browser while the tab is open and, if you create an account in that visit, with the account until it is deleted.

Deleting a PyHires account does not delete information that a company has already received as part of a job application and processes as an independent controller. In such cases, the candidate may also need to contact the relevant company regarding its own processing of that information.

11. Your data protection rights

Depending on the circumstances and applicable law, you may have the right to:

  • access your personal data;
  • request correction of inaccurate or incomplete data;
  • request deletion of your personal data;
  • request restriction of processing;
  • object to certain processing activities;
  • receive certain personal data in a portable format;
  • withdraw consent where processing is based on consent; and
  • object to profiling and exercise any other rights relating to profiling that apply under data protection law.

You can also manage or update certain information directly through your PyHires account where these features are available.

To exercise your rights, contact us at [email protected].

We may need to verify your identity before processing certain requests.

You also have the right to lodge a complaint with the competent data protection authority. In Spain, this is the Agencia Española de Protección de Datos (AEPD).

12. Security

We implement appropriate technical and organisational measures designed to protect personal data against unauthorised access, alteration, disclosure, loss or destruction.

Access to personal data is limited to authorised persons and service providers who need it for legitimate purposes.

We regularly review our security practices and take reasonable measures to prevent and respond to security incidents.

However, no internet-based service can guarantee absolute security.

Where a personal data breach occurs that is subject to notification under applicable law, we will take the required measures and notify the relevant authorities and affected individuals where legally required.

13. Sensitive personal data

PyHires does not need, and does not generally ask for, special categories of personal data under Article 9 of the GDPR.

Please do not include sensitive personal information that is not relevant to your professional profile or job applications.

14. Cookies and similar technologies

PyHires uses cookies and similar technologies that are necessary for the operation, security and functionality of the platform, and, only with your consent, the measurement described below.

Where we use non-essential cookies or similar technologies that require consent under applicable law, we will request consent before using them.

Measurement of how you arrived: if you click “Accept” in the cookie banner, PyHires keeps the campaign tags of your first page, the website that linked to it and the path of that first page in your browser while the tab is open, and saves them with your account if you sign up in that visit, to count sign-ups by channel. This stays with PyHires: it is not shared with analytics or advertising services or any other third party. If you click “Reject”, nothing is recorded. You can change your choice at any time from the Cookie Policy.

For more information, please see our Cookie Policy.

15. Marketing and communications

We send communications that are necessary to provide the service, such as messages about your account, security, your applications or the operation of the platform.

Commercial or marketing communications are sent in accordance with applicable law and, where consent is required, only after you have given it. You can withdraw your consent or unsubscribe from marketing communications at any time.

The commercial emails we send are the newsletter and the product updates and offers described in Section 3.5.

16. Changes to this Privacy Policy

We may update this Privacy Policy when necessary to reflect changes to PyHires, our data processing activities, our service providers or applicable legal requirements.

If changes are material, we will take appropriate steps to inform users where required by law.

The current version of this Privacy Policy will always be available through PyHires.
